HereALL (“we”, “our”, “us”) respects your privacy and is committed to protecting it. This Privacy Policy explains what information we collect, how we use it, and how it may be shared when you use the HereALL mobile application (“App”).
Purpose of the App
HereALL is designed to help group leaders (such as teachers, trip leaders, or organizers) manage group attendance during trips, events, or activities. Leaders can create events and start attendance sessions, while members can check in and optionally share contact or location information with the leader.
Information We Collect
We collect only the information necessary to provide the functionality of the App.

Account information
- Email address (optional): if you choose to register or sign in using email, we store your email address for account management and authentication purposes.
- Account identifier: the system stores a unique internal identifier for each account (for example a Firebase authentication ID). If the App is used without registration, a temporary or guest identifier may be created.

Profile information
- Display name: used within events.
- Phone number (optional): users may provide a phone number and choose whether to share it with the event leader.

- Event membership
- Check-in status
- Timestamps of attendance sessions
- Operational data needed for attendance reporting

Location data (optional)
- Meeting location: when a leader starts a session, the meeting location and start time may be recorded so members can see where the session was initiated.
- Member location sharing: members can optionally share their current location with the event leader. When this feature is used, the system stores a Google Maps link pointing to the shared location.
- Location sharing only occurs when the user grants location permission and explicitly performs the action within the App.
- The App does not continuously track users in the background.

Device and usage data
For stability, diagnostics, and advertising purposes, limited technical information may be collected automatically through third-party services. This may include:
- Device type
- Operating system version
- App version
- Crash diagnostics
- Advertising identifiers
How Information Is Used
- To operate attendance sessions and event participation features.
- To allow leaders to see who has checked in and who may be missing.
- To allow optional sharing of phone numbers and locations with the event leader.
- To generate attendance reports that can be exported or shared by the leader.
- To maintain and improve the reliability and security of the App.
- To provide support if users contact us.
How Information Is Shared
HereALL is designed for group coordination. Certain information may be visible to other participants within the same event according to the following rules:
- Leader visibility: The event leader can see the names of members in the event and their check-in status. If a member chooses to share their phone number or location, the leader can also see that information.
- Leader phone sharing: If the leader chooses to share their phone number within an event, members of that event may see the leader’s phone number and use it for contact purposes.
- Member privacy: Members cannot see information about other members. Members do not see each other's names, phone numbers, or locations.
- Email privacy: Email addresses are never displayed to other users of the App.
Third-Party Services
The App uses the following third-party services:
- Firebase (Google) Used for authentication, backend services, and secure data storage.
- Google Mobile Ads (AdMob) Used to display advertisements. Advertising partners may collect advertising identifiers and device information according to their own privacy policies.
Data Retention
Event data is stored only as long as necessary to operate the service. Event creators (leaders) may delete events, which removes the associated attendance and participation data. Users may contact us if they wish to request deletion of their account-related data.
User Controls
Users have several controls over their information:
- Location permissions can be managed in the device’s system settings.
- Phone number sharing can be enabled or disabled in the App.
- Location sharing with the leader is optional and user-initiated.
Children's Privacy
The App may be used in environments where minors participate in organized activities (such as school trips). Use of the App in such contexts is expected to occur under the supervision of a responsible adult (for example a teacher or group leader).
Changes to This Policy
We may update this Privacy Policy from time to time. If changes are made, the updated version will be posted on this page with a revised effective date.
